Good communication saves everyone time, minimises mistakes and speeds up the handling of requests. Let us show you how it's done. Who to contact and when, depending on the specific problem, is covered in the article How, whom and when to contact depending on your problem.
Communication channels
Use official communication channels only.
Primarily email.

Why use official communication channels only?
It is about your security – we cannot verify anyone's identity on social media. And even if we did reply, we would still need a follow-up confirmation by email. Also watch out for
fraudulent emails that merely pretend to come from Bez Labelu.
Important:
Always communicate from verified contacts – from the email address and phone number listed in your account in Artists Bez Labelu.
For many things, you do not need to write at all
A check of your
cover art and release details before release, checking the distribution status, linking your YouTube channel (
OAC), providing proof of a
songwriter pseudonym or getting TikTok or Beatport access can all be handled in the
Requests section of Artists Bez Labelu – the form asks for everything needed and you can follow the status of your request as it progresses. You can edit a release or
remove it from distribution yourself in the release detail.
What to include in an email
(Naturally, this also applies outside email communication.)
FOR ALL MESSAGES
Sender
Write from the email address registered in Artists Bez Labelu.
Identification
Give both your
artist name and your real name (e.g. in the sign-off at the end of the message).
Subject
A concise description + [Artist name] in square brackets.
DEPENDING ON WHAT YOU ARE DEALING WITH
If it concerns a release (album/EP/single)
The title + the release's EAN/UPC code.
If it concerns a recording
The
ISRC code + details of the release it is on (title, EAN/UPC).
If it concerns artist profiles
Send links to those profiles (Spotify, Apple Music, YouTube etc.) – or at least the relevant identifiers (
how to find the identifiers).
If it concerns an image
Attach it straight away (but always check it first with the
Image check tool in Artists Bez Labelu or with our
image validator). If you want us to check the image before release, use the Pre-distribution check request.
Upload the licence for a
backing track from the internet as a PDF directly to the recording in the Track origin part. If we ask for the licence, send it in full with all its details (not a screenshot) – see
How to provide proof of a licence.
WHAT ALWAYS APPLIES
In general
The more information, the better – you will save time for both yourself and us. It is better to send more things that turn out to be unnecessary than to leave out something essential.
How often and how to communicate
Write everything at once
Write one complete email with all the necessary information. Email is not a chat – do not send 5 short messages in a row.
Wait for a reply
We usually reply within a few working days. If we take longer, send us a reminder. If it has only been a couple of days, there is no need to chase us.
Keep to the thread
Reply to the same email – do not start new conversations about the same thing. Multiple emails only make everything take longer. Reply directly to emails about tasks (the subject ends with “TASK” and a number) and requests (the subject ends with “ZAD” and a number) – you will also find an overview of your tasks in Artists Bez Labelu in the menu under your name → Tasks.
Quality of communication
Given the steadily declining quality of the written messages we receive from clients, we kindly ask you to follow the guidelines below. It can save you a lot of trouble.
| DO |
DON'T |
Correct grammar and spelling Sentences with punctuation and without typos |
Typos and mistakes Unreadable texts full of errors |
Punctuation and commas Commas and full stops in the right places |
Sentences without full stops Missing punctuation |
Clear expression An understandable and specific message |
Vague wording We do not know what you mean |
Checked by AI/Word Use text-checking tools |
Unreadable texts Without any checking |
Why does it matter?
We have already had to deal with problems caused by a missing comma that changed the meaning of a sentence …
Quality communication = fewer misunderstandings = faster handling.
Tip:
Use AI tools such as ChatGPT, Gemini, Claude, Grok etc. (or just the spell checker in Word) or other text-checking tools before sending.
Tips for phone calls
When calling:
- Call from the phone number listed in your account.
- Introduce yourself with your real name.
- Say that you are calling Bez Labelu (we run more music projects than just Bez Labelu).
- If you speak a language other than Czech (for example Slovak), speak slowly and clearly.
- The phone is for urgent matters – complicated issues are better dealt with by email.
